Periods and Scheduling — Admin and Designer Workflow

Quick principle

Always create academic periods first (in the calendar), then build curriculum around them, then generate timetables from them.

Roles and responsibilities

  • Admin: Create academic years and periods in the Academic Calendar (with start and end dates).
  • Curriculum Designer: Use the Curriculum Composer to assign modules to existing periods from the calendar.
  • Teacher: Use the class timetable and sessions generated from the periods and curriculum.

Step-by-step for Admin

  1. Go to Academic Calendar
  2. Create an academic year (e.g., "2025–2026")
  3. Under that year, create child periods with concrete dates
  4. Example: "Semester 1" (Sep 2025 – Feb 2026), "Semester 2" (Mar 2026 – Aug 2026)
  5. Save and verify dates are visible on the Periods page
  6. Run the Setup Health check to confirm all periods have valid dates

Step-by-step for Curriculum Designer

  1. Before opening the Curriculum Composer, confirm the target academic year and its periods exist in the Academic Calendar
  2. In the Curriculum Composer, use the Period dropdown to select from dated calendar periods
  3. Do not create new periods inside the Composer — if a period is missing, ask Admin to create it in the Academic Calendar
  4. Save your course structure

Step-by-step for Teacher

  1. Use the class timetable and session list (these are generated from the periods and curriculum)
  2. If expected sessions are missing: contact Admin with your class ID and a screenshot
  3. For one-off changes (cancellations, makeups), edit the individual session occurrence (not the curriculum structure)

If periods are missing or incomplete

Symptom: "Timetable generation not working" or "No sessions appearing for my class."

Cause: Academic periods may be missing dates or are not properly linked to the academic year.

Fix: 1. Go to Academic Calendar 2. Verify the year and periods have start and end dates 3. If a period is undated, edit it and add dates 4. Run Setup Health check to validate 5. Regenerate timetable rules if needed

Key rule: Always create calendar first

Do NOT skip creating academic calendar periods, and do NOT ask Curriculum Composer to create them. Calendar setup is the foundation for the entire timetable and curriculum flow.
